Manual Steps to Import Excel file data into Outlook Contacts

Before moving the data of excel spreadsheet into a Microsoft Outlook client, a user needs to convert the data into CSV format. Outlook application offers an option to import data into configured Outlook account using the Import /Export Wizard. As various Outlook versions available, follow all the steps to Import Excel file into Outlook 2016/2013/2010/2007 contacts.

Save Excel file into Comma Separated Value Sheet

First, you have to convert the spreadsheet file into .csv format. As Both file formats are different, but still excel file converted into .csv format.

  • Open Worksheet File.
  • Check all details properly >> Now click on File menu >> Save as option.
  • Browse the Location to save the file in the configured system.
  • Select (*.csv) file format >> Click on Save option.

In Outlook 2007 Application

  • Select File Menu option & click Import/Export option.
  • In Import/Export wizard, Select Comma Separated Values (Windows).
  • Click Next to save Excel Data in Outlook Format.
  • Browse location in the configured system to save the file in it.
  • Select  Do not import duplicate items to avoid duplicates. Click Next.
  • Now select the Destination Folder[Contacts], In which you want to import Excel data file. Click Next.
  • Now In next “Import a File” dialogue box, User can select two options.

Map Custom Fields: In this Mapping Field option, an Outlook user can Map the field stored in the imported file to the field stored in the Outlook Folder or can change the mapping by just dragging the field from left pane of the dialogue box to right pane.

For Example: In the Imported file, Job Title filed save as Designation then Outlook user can map the Designation field to the Job Title field of the left pane.

Change Destination: Option used to Change the Destination Folder

  • Click OK. At last click on Finish button.
  • View the Imported Contacts data in Outlook Contact Section.

In Microsoft Outlook 2010 Edition

A technique to Import excel file into Outlook 2010 contacts similar to Outlook 2007 editions, To import, launch the Outlook 2010 application. Open File menu section and select the Import (Import file settings & RSS feed in Outlook) option. After that, all steps are same from the mentioned steps of Outlook 2007 edition after Import/Export Wizard.

In Outlook 2013/2016 Application

As Outlook 2016/2013 are more user-friendly compare to Outlook 2010 & old versions. Some steps to find the option and to import excel file into Outlook 2016 contacts changes. These are minor changes, you can view the instruction to import excel spreadsheet in Outlook 2016.

  • Open Outlook 2016.
  • Select Open & Export option & click.
  • Import/Export[Import or Export files settings] option.
  • In Import/Export wizard, Select “Import from another Program or file”. Click Next.
  • Select Comma Separated Values option.
  • Browse location of CSV File in the configured system.
  • Select  “Do not import duplicate items” to avoid duplicates. Click Next.
  • Now select the Destination Folder[Contacts], In which you want to import Excel data file. Click Next.
  • Now In next “Import a File” dialogue box.
  • To Map Field, use “Map Custom Fields” option and to change Destination folder, select option “Change Destination” option.
  • Click OK. At last click Finish.
  • View the Imported Contacts data of Excel spreadsheet in Outlook Contact.

Conclusion

Sometimes to Import import excel file into Outlook 2013/10/07 Contacts list, will be easy task if user follow the lengthy instruction properly, but while importing an excel file into contacts in Outlook become hard task, when different problem such as “MAP translator not available error” and other “CSV File open in another program” but no file open in configured system faced by user.
